Realtracs Showings Video Tutorial & Steps for Listing Agents

Realtracs Showings is available to all Brokers and Agents as part of the Listing Management System, removing the complications of setting up showing details and requesting appointments in another platform outside of Realtracs!  

Please Note: This service is developed as part of the Realtracs application and does not include call center capability.

1.  When adding or editing a listing, navigate to the Office & Showing section of your listing.  Realtracs Showings is pre-selected for you.image-png-May-09-2024-10-13-03-6100-PM

2.  Next, enter in the Showing Details.  The following are available:

SHOWING SETTINGS

  • Auto Accept New Requests: aka "Go & Show."

  • Overlap Showing Times: Allows for multiple showing appointments to occur at the same time, maxing out at 4.image-png-May-09-2024-10-17-55-7240-PM

  • Appointment Duration: 60 Minutes is pre-selected for you, but choose 15 or 30 if that is your preference.  

  • Agent Notification Preference:  Designate how you and the Co-List Agent wish to be notified of a showing request. Select either text, email or both.

  • Showing Instructions: For the buyer's agent include all the showing details the need while at the property, e.g. how to access the property, alarm codes, showing instructions, possible feedback requests etc.

Please note: Showing Instructions cannot be seen by the buyers agent, until the showing request has been accepted by the listing agent or seller.

COLLABORATION

  • Request Feedback: Pre-selected for you to automatically request feedback on your listing from buyer's agents.

  • Seller Text Notifications + Showing Portal: Add up to 2 sellers to the notifications and allow them to view their listing's showing activity in a showing portal.

  • Make Feedback Visible to Seller in Portal: Automatically shows buyer's feedback submitted by the buyer's agent to your seller.

  • Seller Contact Details:  Add contact information for the property owners that want to participate in accepting/declining showings.

    ***VERY IMPORTANT***

    ‼️Once the listing agent has turned on the 'Seller Text Notifications and Showing Portal', and then publishes the listing as Coming Soon or Active the seller is REQUIRED to opt into Realtracs Showings messages by tapping on the opt-in text message that they receive.   If the seller does NOT opt into Realtracs Showings messages, they will NOT receive ANY showing text messages or open their Seller Showing Portal.

SHOWING AVAILABILITY

  • Available Start & End Time: Choose a time range for showings to occur.

  • Minimum Notice To Show: Create a scheduling buffer to help your seller prepare. It can be a minimum of 1 hour up to 24 hours.

  • Showing Schedule Restrictions: If your seller requires specific timeframes or days when their property should not be shown.  (e.g. napping children, work from home days, holiday/birthday etc.)

MANAGE SHOWINGS & FEEDBACK

  • To Manage all pending and accepted appointments and/or Feedback, hover over Showings, then, select 'Seller Appointments'.
  • Pending and Upcoming Appointments will show by default. Pending appointments will be at then top then accepted upcoming appointments will follow in order of the dates.
  • To Accept or Decline a pending request, simply use the corresponding buttons and we will notify the buyers agent. If you need to Cancel an appointment after you accept it, use the Cancel button.
  • If you don't have any Pending or Upcoming appointments, you will enter into a blank state. To see your past showing history, click on the View All at the top center.

  • To email the agents who have shown your listing, click on the Email button in the upper right hand corner. In the prompt, type in the address you want to notify the agents of. From there type in a subject and what you want to say in the email. You can review the recipients and send the email with the two buttons.   
  • For extra management tools, use the white search box in the upper lefthand corner and type in the address to focus on all the showings for that specific property. Utilize the Filter button to further customize what you want to see.
  • To see any Feedback left by the Buyer's agent, click on the Feedback button in the top center. To see all the feedback on a specific listing, type in the address in the white search box in the upper left hand corner. Use the Expand Feedback button to see any additional comment's left by. the buyers agent
